Executive Assistant - Nonprofit Industry

Location: North Minneapolis
Schedule: Monday-Friday, 8:00 AM-5:00 PM (some flexibility after hours)
Employment Type: Temp-to-Hire

About Us

We are a growing nonprofit organization transitioning from startup to a sustainable growth phase. Our mission-driven team is seeking a highly organized and proactive Executive Assistant to serve as the right hand to our Executive Director. This role is critical in helping us streamline operations, manage priorities, and support strategic initiatives.


What You'll Do

  • Executive Support

    • Manage inbox and prioritize urgent communications.
    • Coordinate complex scheduling and calendar management.
    • Book travel and accommodations.
    • Take meeting minutes and maintain accurate records.
  • Operations & Administration

    • Document retention and management (SharePoint, Basecamp).
    • Maintain spreadsheets and trackers for inventory and equipment.
    • Support payroll processing (largely automated).
    • Assist with compliance-related tasks as needed (experience with Attorney General processes is a plus).
  • Project & Technology Support

    • Navigate Monday.com for project management.
    • Collaborate with an AI consultant (through December) to automate workflows.
    • Support CRM activities in DonorView (forms, applications, templates).
    • Partner with marketing consultant for backend marketing tasks (e.g., newsletters).
  • Other Duties

    • Handle mail and checks during occasional onsite visits.
    • Respond to ad hoc requests and jump into different areas as needed.

What We're Looking For

  • 5-10 years of experience as an Executive Assistant or similar role.
  • Strong time management and organizational skills.
  • Ability to work independently in a virtual environment.
  • Experience supporting multiple executives or C-level leaders.
  • Nonprofit experience is a plus, especially with compliance or grant writing.
  • Professional demeanor and ability to communicate effectively with leadership.
  • Comfortable with technology and learning new systems quickly.
